Enhancing Bookkeeping and Financial Reporting for a U.S. Recreational Boating Business

INTRODUCTION

A U.S.-based recreational boating business specializing in personalized sailing lessons, motorboat instruction, private charters, and sunset cruises partnered with MAS to improve the accuracy of its financial records and streamline ongoing bookkeeping operations through Zoho Books.

As part of our structured onboarding process, we conducted a comprehensive review of the existing books to assess the overall health of the company’s financial records. Working within the client’s existing accounting software, a dedicated accountant, supported by a senior reviewer, identified historical bookkeeping issues affecting the accuracy of reconciliations, customer payments, and financial reporting. The objective was to restore confidence in the books while establishing a reliable bookkeeping framework that could support the business as it continued to grow.

DISCUSSIONS

During the initial review, several bookkeeping discrepancies were identified that had accumulated over multiple accounting periods. While certain bank and credit card accounts had been reconciled, the reconciliations relied on manual journal entries rather than the underlying banking transactions. As a result, the books appeared balanced, but the financial records did not accurately represent actual account activity.

The assessment also revealed missing bank transactions, incorrectly categorized entries, and customer receipts that had been applied to invoices belonging to different customers. In addition, one bank account contained an opening balance discrepancy carried forward from an incorrect reconciliation completed during the previous financial year. Fixed asset records were also incomplete due to the absence of depreciation accounting.

These findings highlighted the need for a comprehensive bookkeeping cleanup to restore the integrity of the financial records and improve the reliability of ongoing financial reporting.

REQUIREMENTS

To strengthen the company’s bookkeeping processes and improve financial reporting accuracy, the client required support in the following areas:

• Review and cleanup of existing books of accounts in Zoho Books

• Identification and recording of missing banking transactions

• Correction of incorrectly categorized transactions

• Resolution of historical bank and credit card reconciliation discrepancies

• Accurate allocation of customer receipts to corresponding invoices

• Creation of depreciation records for fixed assets

• Preparation of accurate financial statements

• Ongoing bookkeeping support and timely resolution of accounting queries

These requirements reflected the need for a dependable bookkeeping system capable of supporting accurate reporting, organized financial records, and informed business decision-making.

SOLUTION

1. Comprehensive Bookkeeping Assessment

The engagement began with a detailed review of the existing books within Zoho Books to evaluate transaction classifications, account balances, customer receivables, and reconciliation history. This assessment enabled our team to identify the root causes of the discrepancies and develop a structured cleanup plan without disrupting the client’s ongoing operations.

2. Transaction Cleanup and Reconciliation

Previously recorded transactions were reviewed and corrected where necessary, while missing bank statements and transactions were imported and recorded under the appropriate accounting categories.

To restore the accuracy of the financial records, bank and credit card reconciliations that had been completed using manual journal entries were carefully reversed. Incorrect adjustment entries were eliminated, legitimate accounting adjustments were recorded where required, and each account was reconciled using the underlying banking transactions. This ensured that account balances accurately reflected actual financial activity rather than reconciliation adjustments.

3. Accounts Receivable and Revenue Accuracy

Sales reports were reviewed to verify the accuracy of customer payments recorded within the accounting system. Receipts that had been allocated to incorrect customer invoices were identified and reassigned to their respective invoices, improving the accuracy of accounts receivable balances and ensuring revenue was reported correctly.

4. Fixed Asset Accounting

The review identified that depreciation had not been recorded for the company’s fixed assets. Appropriate Depreciation Expense and Accumulated Depreciation accounts were established, and the required depreciation entries were recorded to improve the completeness and accuracy of the financial statements.

5. Financial Reporting and Ongoing Support

Following the cleanup process, updated financial statements were prepared and shared in accordance with the client’s reporting requirements. Throughout the engagement, the client worked with the same dedicated accountant, supported by a senior reviewer, ensuring continuity, prompt communication, and efficient resolution of bookkeeping queries. All financial information was managed through ISO 9001 and ISO 27001-certified processes, maintaining the confidentiality and security of sensitive business data.

By resolving historical bookkeeping discrepancies and restoring accurate financial records, the client gained reliable financial reporting and a stronger foundation for day-to-day financial management.
